Turn product documents into answerable information

Before gathering more files, connect each fact to a source, date and responsible reviewer.

Count answerable questions, not files

Start with product identity, specification, minimum quantity and the date through which a fact remains valid. More files alone do not mean better answers.

Give each fact a source

A small table can include product ID, field, value, source location, check date, reviewer and reason for uncertainty. If a price sheet and an email disagree, flag the conflict instead of automatically trusting what looks newer.

Keep restricted material out

Customer lists, trade secrets, credentials and personal contact details do not belong in a public CMS. Confirm usage rights and purpose, then share only the necessary scope.

Run a small comparison

Prepare the same sample inquiry using the current process and the organized facts. Compare search time, human review and corrections—not just draft-generation speed.
